Full-Time Receptionist

Here at Botham Accounting we pride ourselves on creating a welcoming and safe environment for our employees and visitors.  We are looking for a dedicated and proactive individual to join our team as a Full-Time Receptionist based at our office in Nottingham City Centre who will also oversee facilities maintenance, health and safety, and fire safety.  Full training and support on this will be provided and the role can be undertaken as an apprentice whilst studying for Level 3 in Business Administration.

Key Responsibilities

Reception Duties

  • Greet and assist visitors in a friendly and professional manner.
  • Answer and direct phone calls, emails, and other correspondence.
  • Manage the reception area, ensuring it is tidy and presentable.
  • Schedule and coordinate meetings and appointments.

Facilities Maintenance

  • Assist with regular inspections of the premises to ensure cleanliness and functionality.
  • Coordinating with external suppliers for repairs and maintenance services.
  • Help to maintain our inventory of office supplies and equipment.

Key Accountabilities

  • You will handle complex issues in a professional and objective manner. Maintaining the highest level of confidentiality and adherence to policies and procedures.
  • Establish and maintain systems and procedures to support the efficient running of data management and filing.
  • Opening the post and incoming correspondence, ensuring that incoming correspondence is sent to the correct person and that both incoming and outgoing post is correctly logged.
  • Assist in researching and following up with action on client matters such as chasing responses, triggering follow-up action.
  • Help to organise team meetings, prepare agendas, pre-meeting briefings and meeting papers and minutes and circulate as appropriate.
  • Preparation of templates and documents in our house style and assist team members on producing documents which meet our house style.

 

Essential qualifications

 GCSE Grade 4/C or above in English & Maths.

  • Able to work under pressure and to be adaptable.
  • Accuracy and attention to detail.
  • Good organisational skills and able to manage own time efficiently.
  • Proven experience as a receptionist or in a similar role.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and as part of a team.

Desirable

  • Experience of Microsoft Teams, Office and Excel.
